Event and speaker coordinator
AB Media, Inc. is seeing a talented event and speaker coordinator to help plan and execute the Athletic Business Show. This highly organized, detailed and customer-service focused individual will be able to manage multiple tasks and will be responsible for AB Show registration, continuing education, show logistics, speaker coordination and the mobile app.
The ideal candidate has two-four years of event planning experience, excellent interpersonal and organizational skills, strong writing and editing abilities, an interest in contributing new ideas to grow the show and keep content fresh, and the desire to work in a fast-paced, team-oriented environment.

Duties and Responsibilities
- Manages registration system in advance of the show and onsite with registration vendor. Creates event plan with show director, coordinates proofing of attendee and exhibitor registration pages and coordinates all items needed for onsite registration.
- Fields attendee questions, handles Letters of Invitation for international attendees and assists attendees with registration.
- Assists in determining show content with show director. Assists in hiring speakers, negotiating travel expenses, honorariums and expense reimbursement.
- Assists in writing seminar write-ups for print and web. Updates show website with all seminar information and approved CEUs.
- Serves as speaker liaison and manages speaker dashboard, travel, questions, on-site needs, speaker evaluations and payments.
- Maintains compliance with all organizations that provide CEUs and keeps master spreadsheet of all approved seminars and CEU amounts. Responds to all attendee CEU questions and processes CEU transcripts post-show.
- Assists with social media strategies and content.
- Provides partners with venue, hotel and CEU information and assists these organizations with setup and registration questions pre-show and onsite.
- Assists with site visits and logistics for Welcome Reception and tours.
- In conjunction with marketing department, plans and organizes the First-Timers’ Reception.
- Manages the show mobile app. Working with the app vendor, creates all app content, coordinates artwork and tests the app prior to launch. Manages app onsite.
- Hires temporary registration help, develops temp on-site documents and manages temp registration staff onsite.
- Coordinates student and professional room monitor schedule, staff and room monitor hotel reservations, and show bookstore.
- Assists show director with all decorator and signage orders, and with writing convention guide.
Position Requirements
- Bachelor’s degree in business administration, marketing or event management, or equivalent education.
- Two to four years of event experience.
- Excellent interpersonal and organizational skills, with strong attention to detail.
- Ability to manage timelines, deadlines and multiple tasks.
- Team oriented with a strong interest in developing innovative ideas to grow the show.
- Excellent customer service skills.
- Strong writing and editing abilities.
- Ability to exercise judgement and make sound decisions under pressure.
- Ability to work collaboratively with AB staff, partners and show vendors.
